Multi-store retail operations systems

Multi-store retail operations system for growing brands.

"Thaha proactively suggested better tools than I originally specified. That kind of initiative is rare and genuinely valuable."

— Misty Phillips, Cadre Law

Your first store was manageable. The second store made things harder. By the third store, the real problems start showing.

Your POS may show what sold. Shopify may show online orders. Your inventory tool may show what is in stock.

But most growing retailers still need one clear system for the work that happens between stores, ecommerce and head office.

Head office view

One place to see what every store needs next.

Store updates
Daily activity, open issues, manager notes and pending follow-up.
Stock requests
Requests for items, variants, photos, approvals and transfer actions.
Ecommerce follow-up
Shopify order issues, click-and-collect tasks, returns and customer requests.
Owner dashboard
Overdue tasks, pending approvals and recurring problems by store.
Built around your current POS, Shopify, spreadsheets and team workflow — not as a replacement for all of them.

The real problem is not just inventory.

Many retailers start searching for inventory software when they open more stores. That search makes sense. Stock visibility is usually where the pain becomes obvious.

But for owner-led retail brands, the bigger issue is often the operating layer around inventory: requests, approvals, transfers, staff tasks, customer promises, ecommerce issues and management reporting.

Important requests live in messages

Staff ask for items, variants, displays, approvals or urgent help in WhatsApp, Slack or email. Later, no one knows what was actioned.

Head office keeps chasing stores

Managers send updates in different formats, at different times, with missing details. The owner has to follow up manually.

Shopify creates extra coordination work

Online orders, returns, exchanges, click-and-collect tasks and customer questions often need store-level follow-up.

Stock requests are not clearly owned

A store asks for an item. Someone says they will check. Then the request disappears until the customer asks again.

Store issues get buried

Maintenance, display problems, complaints, staff issues and supplier delays are handled informally instead of being tracked to closure.

Reporting is too late to help

By the time reports arrive, the important decisions have already been delayed or made from memory.

A custom operations system around your existing retail tools.

I build the system that helps your team manage the work around the sale. Your POS can stay. Shopify can stay. The new system gives stores and head office a structured place to manage the operational follow-up.

Store directory

A clear record for each store, manager, location details, opening notes, assigned staff and operating context.

Store updates

Daily or weekly updates with structured fields, not scattered messages that are hard to compare.

Stock request tracker

Track item, size, colour, variant, urgency, photo, reason, approval status and assigned action.

Approval workflow

Give head office a queue for decisions, with approved, rejected, delayed and completed statuses.

Task management

Assign store tasks, display checks, follow-ups, opening checklists, ecommerce actions and manager requests.

Shopify follow-up

Track online order issues, returns, exchanges, click-and-collect requests and product update tasks.

Customer follow-up

Capture promised callbacks, requested items, VIP notes, fitting notes and follow-up dates.

Owner dashboard

See overdue tasks, pending approvals, branch issues, repeated problems and live operational pressure.

Why not just use POS, Shopify or inventory software?

POS systems, Shopify and inventory tools are important. They usually handle sales, orders, payments, product data and stock records.

But they do not always manage the human workflow around retail operations: why a store requested something, who approved it, what the manager said, which customer is waiting, what task is still open and what head office needs to decide.

Your existing tools may show

  • What sold in store
  • Which ecommerce order came in
  • What stock exists
  • Which store processed the sale
  • Payment and customer order data

The operations layer manages

  • Store requests and approval status
  • Staff tasks and follow-up ownership
  • Customer promises and waiting items
  • Shopify issues that need store action
  • Head-office decisions and branch reporting

The goal is not to replace good retail software. The goal is to connect the operational work that still falls between your systems, staff and stores.

Example workflow: a store needs a popular item.

Before

  1. 1. Staff message the owner or manager.
  2. 2. The request gets mixed with other messages.
  3. 3. Another staff member sends a separate reminder.
  4. 4. Nobody knows if it was approved.
  5. 5. The store keeps following up.
  6. 6. An online customer may be waiting.
  7. 7. The sale may be lost.

After

  1. 1. Store creates a structured request.
  2. 2. Item, variant, urgency, photo and reason are captured.
  3. 3. Head office reviews it.
  4. 4. Request is approved, rejected or delayed.
  5. 5. Transfer, purchase or customer follow-up is assigned.
  6. 6. Store sees the current status.
  7. 7. Owner sees all pending requests in one dashboard.

Built for growing retailers, not enterprise ERP projects.

This is for retailers that have outgrown “just message me”.

You do not need to be a national chain. You just need enough store and ecommerce activity that tasks, requests and decisions are starting to slip.

What the system can connect to.

The system can be built around the tools you already use where possible. Some integrations may use direct APIs. Others may use exports, forms, automation tools or simple controlled workflows.

For many owner-led retail businesses, InfoLobby is a strong fit because it can hold structured records, relationships, views, statuses, notes, files and workflows without needing a heavy custom software build.

How the project works.

01

Store operations review

We review how stores handle updates, requests, issues, ecommerce follow-up and reporting today.

02

Workflow map

I map how requests come in, who reviews them, who acts, how stores get updates and what owners need to see.

03

System design

I design the records, statuses, forms, views, dashboards and relationships needed to run the process.

04

Build and connect

I build the system in a practical platform such as InfoLobby or Airtable, with integrations where they make sense.

05

Test and handover

We test real store examples, adjust what does not work and document how the team should use it.

Good fit / not a fit.

Good fit if branch work is getting hard to control.

You have more than one retail store.
You sell both in-store and online.
Your team uses Shopify, POS, spreadsheets and messages together.
Store requests and approvals are not clearly tracked.
Ecommerce issues need manual store follow-up.
The owner or manager is constantly chasing updates.
You want better control without replacing everything.

Not a fit if you only need specialist inventory software.

You only need barcode inventory control.
You want to replace your full POS.
You want to replace Shopify.
You need warehouse-level stock forecasting.
You want a generic off-the-shelf retail ERP.
You are not ready to standardise how stores report work.

Client feedback, real impact.

Frequently asked questions.

Is this an inventory management system?

Not exactly. It can track stock requests, approvals and follow-up, but I am not positioning this as a full barcode, warehouse or forecasting inventory platform.

Can it connect to Shopify?

Often, yes. The system can work with Shopify orders, customer records, product updates, returns or follow-up tasks through APIs, exports or automation tools depending on your setup.

Do I need to replace my POS?

No. The point is usually to work around your existing POS and add the missing operations layer around stores, staff and head office.

Can stores submit requests themselves?

Yes. Stores can submit structured requests with item details, variant, urgency, photos, notes and reason for the request.

Can owners see all stores in one dashboard?

Yes. Dashboards can show pending approvals, overdue tasks, open issues, store updates and recurring problems across locations.

Can this work for ecommerce brands with physical stores?

Yes. It is a strong fit when online orders, returns, exchanges or customer requests need coordination with physical stores.

Can this be built in InfoLobby?

Yes, when it fits the workflow. InfoLobby is useful for structured records, related tables, status views, notes, files, dashboards and workflow tracking.

What if I already use spreadsheets?

That is common. We can either improve the spreadsheet workflow or move the recurring branch process into a cleaner system.

Multi-store retail operations system

If your stores, Shopify orders, stock requests and head-office decisions are scattered across messages and spreadsheets, I can help you turn that into a working operations system.

Bring your current store process, POS setup, Shopify workflow, spreadsheets or message-based requests. I’ll review how the work happens now and show you what a cleaner system could look like.
