Workflow Health Check
A practical health check for teams running operations across spreadsheets, email, WhatsApp, CRMs, forms, and memory.
Your business works, but only because people keep chasing it
This checklist is for the awkward middle stage: the business has customers, systems, forms, maybe a CRM, maybe spreadsheets — but the daily workflow still depends on people remembering what to do next.
Work is scattered
Leads, client notes, requests, jobs, documents, and follow-ups live in different places.
Status is unclear
Your team has to ask “where is this up to?” because the system does not show the next action.
Admin repeats
The same details get copied, rewritten, checked, and chased across multiple tools.
Check your workflow health
Tick what is currently true. Your workflow health score updates as you go. When you are done, reveal your diagnosis, estimated weekly friction, and the three fixes to prioritise first.
1. Scattered tools
Where the work physically lives.
2. Status and visibility
Whether people can see what needs attention.
3. Ownership
Who is responsible for the next step.
4. Handover
How work moves between people or stages.
5. Automation readiness
Whether automation would help or just hide the mess.
6. Customer experience
How the internal workflow affects the person waiting.

Your workflow diagnosis
Do not jump straight to “we need a new CRM”
A messy workflow can look like a software problem, but the fix may be clearer statuses, ownership, handover, review steps, or one connected operating system around tools you already use.
What I look for in a workflow review
Inputs
Where requests, leads, bookings, cases, or jobs enter the business.
Statuses
The stages work moves through, including stuck, waiting, missing details, and completed.
Ownership
Who needs to act next, and how the system makes that visible.
Handover
How information moves between staff, tools, and customer-facing updates.
Exceptions
What happens when data is missing, a request is urgent, or automation should stop.
Outputs
Quotes, reports, dashboards, payment links, client portals, documents, and follow-up tasks.
